Information in your workspace

Toolbelt stores the account and company details you provide, customer contacts, properties and job addresses, estimates, signatures, invoices, manually entered payment records, schedules, messages, files and photos. Signing records include the typed name and email, consent, document version, timestamp, browser information and the network IP address when supplied by our trusted hosting gateway. A typed email alone is not proof that its owner signed.

Why we use it

We use this information to provide your workspace, share documents you authorize, deliver messages, maintain audit history, troubleshoot problems and protect account access. Contact form submissions are stored so Toolbelt can respond to access, support, privacy and security requests.

Who can access it

Your company controls team roles and project assignments. Customers see documents shared with them. Anyone with a valid shared-document link can view that document, so share links carefully. Hosting, storage and email service providers process data needed to run the service. When a configured AI provider is used, the request and relevant permission-filtered workspace context are sent to that provider. Connected accounting services receive the records you authorize for export.

Cookies and local storage

A session cookie keeps you signed in. Browser storage supports preferences, notification read status and pending file uploads. Offline uploads remain on the device until successfully uploaded or discarded. Toolbelt does not collect or move customer payments; contractors collect payment outside the service.

Retention and your requests

Records remain available while needed for the workspace and its audit history. Archiving is not deletion. Contract and billing records may need to be retained for business or legal purposes, and backups may retain copies. Contact your contractor about their customer records, or use our contact form to request access, correction or deletion of account information. We may verify identity and explain any records that must be retained.

Mobile app

The mobile app stores your session securely in the device keychain. Camera and photo access are optional and used only when you choose to document a project. Pending photo uploads are stored privately on your device until uploaded or discarded. We do not use advertising identifiers, track you across other companies’ apps, or collect background device location.

In the mobile app, open Account, then Delete my account to permanently remove your personal profile and sign-in credentials and revoke all company access. Company-owned project content, messages, contract and billing records, and audit history remain with the company for recordkeeping. Backup copies may persist until replaced. Contact us about retained records or deletion requests that require further assistance.
